My email policy

Reading and answering emails takes time away from my real work, which is thinking. This is a major dilemma, because many emails of course contain information that is necessary for productive thinking. Therefore, I have tried to develop a policy that maximises the benefits of emails and minimises the time needed to handle them.

• If it is about work in a particular project, it must have a wiki page in Opasnet (or Heande). All our projects have it (for links, see below). Write your stuff directly to the talk page of the project, or to another relevant page within the project. If you need immediate response, write the topic to wiki and then send an email with the link to that page.
• If it is not possible to write the thing into wiki, you may send an email. Please explain why it was not possible to use wiki (this is important for us to be able to develop the system and work practices further).
• Make sure that you ALSO send the email to someone who is working on the project full time or at least more than I am. Everyone in THL has the same email address format: firstname.lastname[at]thl.fi. My colleagues are most likely the persons who actually do the practical work related to the project. At least they know the overall picture better. These persons are:

• I will read all email titles almost every day, but on average, I only read half of the emails during the first day (if I have important things to think about, it may be as low as 10 % for a week, and then many emails remain unread forever). So, pay special attention to the title of your email.
• If it is about personal matters, send the email to my other email address (firstname.lastname[at]iki.fi) instead of my work email.
